Terms & Conditions

1. Introduction

These Terms and Conditions explain how bookings, confirmations, payments, cancellations, and refunds work for trips organized by Snow View Treks. They apply to all trekking, tours, expeditions, and related services purchased directly from us or through our authorized partners.

By making a booking or payment, you (“client”, “you”, “your”) agree to be legally bound by these Terms, so please read them carefully before confirming your trip.

2. Booking & trip confirmation policy

2.1 Making a booking

A booking is made when you submit a trip request, and we issue a written confirmation (by email or online) outlining the services, dates, and price. Your booking is subject to these Terms and any specific conditions stated in your proposal, invoice, or trip dossier.

2.2 Deposit and confirmation

Your booking is confirmed only after we receive the required deposit and the requested client details (including flight information where applicable), and we send you a formal confirmation invoice or email.

If the deposit is not received within the specified time, we may release the reserved services and dates.

2.3 Minimum booking time

  • Trekking trips: Bookings are accepted up to 7 days before the trip start date.
  • Corporate and expedition trips: Bookings are accepted up to 60 days before the trip start date.

Bookings made closer than these timeframes may be declined or accepted only with limited customization due to permit, flight, and accommodation constraints.

3. Client information and responsibilities

3.1 Information required

To confirm your booking, we require:

  • Full name (as per passport), nationality, and contact details.
  • Flight details (arrival and departure), including dates and flight numbers.
  • Any health, dietary, or other special requirements relevant to your trip.
  • Current passport-size photograph to arrange trekking permits.

You are responsible for providing accurate, complete information and notifying us promptly of any changes.

3.2 Travel documents and insurance

You are responsible for ensuring that you have valid passports, visas, permits (where applicable), and comprehensive travel insurance that covers trekking, high‑altitude travel, medical evacuation, and trip cancellation.

We may refuse service or participation if you do not have adequate insurance or necessary documents.

4. Changes to bookings by the client

You may request a change of trip dates, subject to availability and any constraints from local permits, flights, and accommodations. At Snow View Treks, date changes are allowed, and we do not charge a change fee for date revisions themselves. However, any additional costs arising from changes (for example, new permits, revised flight fares, or differing hotel rates) will be borne by the client.

All change requests must be made in writing (via email or message) and are only effective once we confirm them back to you. If permits, flights, or accommodation cannot be altered due to local rules or availability, we may not be able to implement your requested change; in such cases, standard cancellation rules apply.

5. Client cancellation and refunds

If you need to cancel your trip, you must notify us in writing via email at least one week before the trip starts. The date we receive your written notice is considered the cancellation date

5.1 Non‑refundable portion

For all trips, 30% of the total trip cost is non‑refundable. This portion covers planning, administration, and any non‑recoverable costs we incur.

5.2 Trekking trips – cancellation rules

  • More than 30 days before the trip start date: 100% of the refundable portion will be refunded (i.e., you receive all paid amounts minus the 30% non‑refundable portion).
  • 15-29 days before the trip start date: 50% of the total trip cost will be refunded.
  • Less than 7 days before the trip start date: No refund is provided.

5.3 Corporate and expedition trips – cancellation rules

  • More than 40 days before the trip start date: 100% of the refundable portion will be refunded (minus the 30% non‑refundable part).
  • 15-29 days before the trip start date: 50% of the total trip cost will be refunded.
  • Less than 7 days before the trip start date: No refund is provided.

5.4 No‑show and early departure

If you fail to arrive for the trip, arrive late, or leave before the end of the itinerary for any reason, no refund is provided for unused services. Also, no refund will be provided if you choose to end your trek early for personal reasons, including fatigue, faster walking pace, or any other voluntary decision. Additional hotel nights, meals, transport, or support services requested after early departure will be at your own expense.

5.5 Postponement & Booking Transfer

If you are unable to travel due to genuine personal circumstances such as serious illness, injury, bereavement of a close relative, redundancy, or jury service, you may request to postpone your booking or transfer it to another eligible traveler, subject to approval and supporting documentation.

No postponement or transfer options are available within 7 days of trip departure; cancellations made during this period may be charged at the full trip amount. Where permitted, Snow View Trek may offer booking credit to rebook the same or a similar trek within 2  years, depending on availability and trip conditions.

6. Cancellations and changes by the company

6.1 Reasons for company cancellation or changes

We reserve the right to cancel or modify a trip before or during the itinerary in the following circumstances:

  • Bad weather or unsafe conditions (including natural disasters or extreme climate events).
  • Safety issues affecting the group or staff.
  • Strikes, political instability, border closures, or other local disruptions.
  • Other situations beyond our reasonable control (force majeure).

Traveling in Nepal often involves delayed or canceled flights, landslides, road closures, flooding, snowfall, political unrest, permit restrictions, or late arrivals, and you should plan with this flexibility in mind.

6.2 Your options if we cancel before departure

If we cancel your trip before it starts for reasons not related to your actions:

  • We will offer you the choice of an alternative trip of similar value (subject to availability), or
  • We will refund the package cost you have paid to us.

If you choose not to accept the alternative trip, we will deduct actual expenses already incurred, including permits, hotel reservations, taxes, transport, and administrative costs. Any remaining balance will be refunded where applicable, in line with our refund procedure.

Also, we are not responsible for additional expenses you may incur, such as international flights, visas, insurance, equipment purchases, or other arrangements not directly booked through us.

6.3 Changes during the trip

In the interest of client safety and overall trip quality, the guide or trip leader may adjust the route, schedule, or services during the trip. These changes are considered part of the adventure travel experience. 

Where possible, we will make reasonable efforts to provide an alternative itinerary or substitute trip of similar standard and category. Snow View Trek cannot refund amounts already committed to local suppliers when changes arise from circumstances beyond our control.

7. Limits of our responsibility

Snow View Treks will take reasonable care to organize and deliver your trip as described in your final confirmed itinerary.

However, our responsibility is limited to:

  • The trekking, logistics, accommodation, and services specifically included in your booked package.
  • Refunds of the package cost paid to us, as outlined in these Terms, when we are required to cancel.

We are not responsible for:

  • Losses caused by events beyond our control (force majeure), including but not limited to natural disasters, political unrest, strikes, road or airport closures, health outbreaks, or government decisions.
  • Personal injury, illness, loss of property, or any other damage where you have failed to follow instructions or where you are not covered by adequate travel insurance.
  • Third‑party services (such as international flights) not booked directly through us.

Participation in trekking and adventure activities carries inherent risks. By booking, you acknowledge these risks and agree to take responsibility for your own safety, preparation, and actions.

8. Refunds – method, currency, and timing

8.1 How refunds are made

Approved refunds will be processed using one of the following methods:

  • Bank transfer to your nominated account.
  • Card reversal or refund via the payment gateway used for your original card payment.
  • Cash refund (only available in certain cases, usually for in‑person payments).

The method used may depend on how you originally paid and on what is practically possible.

8.2 Refund currency

Refunds are generally issued in the same currency in which you originally paid. If a different currency is required (for example, due to banking rules or at your request), the amount you receive may vary because of exchange rates and bank charges; we will not be responsible for such differences.

8.3 Processing time

Refund processing usually takes between 15 and 30 days from the date a refund is approved. Delays may occur due to bank procedures, public holidays, or circumstances beyond our control, but we will make reasonable efforts to process refunds promptly.

9. Payment methods

9.1 Accepted payment options

We currently accept:

  • Online payments via WeTravel or other specified payment platforms.
  • Bank transfers to our designated accounts.
  • Cash payments in approved currencies, where available.

All payment details will be provided in your invoice or during the booking process.

9.2 Banking details

9.3 Card and online payment surcharges

For card and online payments made through WeTravel or other gateways, an extra processing charge of approximately 3.5 to 4% may apply. This surcharge covers transaction fees imposed by payment processors and is usually added to your total invoice or stated during checkout.

10. Banking charges, currency, and exchange rates

10.1 Bank transfer fees

Bank transfer fees and intermediary bank charges are the responsibility of the client. When making a transfer, please select an option that covers all associated charges so we receive the full invoiced amount.

10.2 Currency handling

Prices are generally quoted and invoiced in USD or another specified major currency. If you pay in a different currency, conversion will be based on the exchange rate and banking conditions applicable at the time of payment. Any differences due to exchange rate fluctuations are at the client’s risk.

10.3 Short payments due to fees

If bank charges or currency conversion result in us receiving less than the invoiced amount, the client is required to pay the remaining difference later, either before the trip starts or as otherwise agreed.

Failure to settle outstanding amounts may result in services being withheld or the booking being canceled according to our cancellation rules.

11. Pricing and revisions

We reserve the right to revise prices shown on our website, brochures, or marketing materials due to factors beyond our control, including

  • Exchange rate fluctuations.
  • Government fees and taxes.
  • Permit cost changes.
  • Fuel surcharges.
  • Supplier price adjustments.

If a significant price change occurs after booking, we will notify you and, where possible, offer options such as accepting the revised price, adjusting services, or canceling in line with our refund policies

12. Health, fitness, and risk acknowledgment

Adventure travel and trekking in the Himalayas involve physical exertion, altitude, and variable weather conditions.

By booking with Snow View Treks, you confirm that:

  • You are physically and mentally fit to participate in your chosen itinerary, or you have obtained medical advice before travel.
  • You will disclose any relevant medical conditions or concerns to us and your guide.
  • You understand and accept the inherent risks of trekking and adventure travel, including but not limited to altitude sickness, falls, landslides, weather changes, and delays.

We may require you to sign a separate risk acknowledgment or waiver form before starting certain activities.

13. Complaints and feedback

If you have any complaints during your trip, please raise them immediately with your guide or trip leader so we can attempt to resolve the issue on the spot.

If your concern remains unresolved, you can submit a written complaint to our office within a reasonable time after the trip. We will review and respond as part of our commitment to improving our services.

14. Privacy and data use

Any personal information you provide during booking and travel will be handled in accordance with our Privacy Policy.

By agreeing to these Terms, you also acknowledge that you have read and understood our Privacy Policy and consent to the use of your data as described there.

15. Governing law and jurisdiction

These Terms and any disputes arising from your booking or trip are governed by the laws of Nepal, unless stated otherwise in your booking documents.

Any legal proceedings shall be brought in the competent courts or authorities in Nepal, and you agree to submit to their jurisdiction.

16. Acceptance of Terms

By paying a deposit, confirming a booking, or participating in any trip organized by Snow View Treks, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

If you are booking on behalf of a group, you confirm that you have the authority to accept these Terms on behalf of all members.
